Questions

What is a commercial invoice?+

The customs document for international shipments — it declares what's being shipped, its value, origin, and the terms of sale. Customs uses it to assess duties; carriers require it to move the freight. It is not the same as your accounting invoice.

What must a commercial invoice include?+

Shipper and consignee details, invoice number and date, precise goods descriptions, quantities and unit values, total value with currency, country of origin, Incoterms, and HS codes where known. Our generator includes fields for every one.

Commercial vs proforma invoice — what's the difference?+

A proforma is the pre-shipment version — a committed offer used for quotes, letters of credit, and import permits. The commercial invoice is the final document that travels with the shipment. Switch between them with one click.

Do I need HS codes?+

Customs classifies goods by HS code. Including at least 6-digit codes speeds clearance and avoids broker queries; put them in the description or the HS notes field. Your freight forwarder can confirm codes.

Which Incoterm should I pick?+

It defines who pays freight/insurance and where risk transfers: EXW (buyer handles everything), FOB (you deliver to the ship), CIF (you pay freight+insurance to destination port), DDP (you deliver duty-paid). Pick what you and the buyer agreed — it changes the declared value context.

How many copies does a shipment need?+

Typically three signed copies travel with the goods, plus one for your records and one emailed to the consignee/broker. Print or PDF as many as you need — free.
